Faculty Salary Allocation when teaching outside of the program

Faculty Salary Allocation when teaching outside of the program

Reference: Faculty Loading guidelines

“All hours which exceed the target load will be paid at the overload rate.”

“Overload hours will be compensated at the Lecturer rate (75% of the regular rate), with a cap of $1700/SH. [Note: $1700/SH is slightly more than the Lecturer rate for a Category 1 Associate Professor with 5 steps.]”

“All overload (OL) hours which exceed the target load (even if under 24) will be paid via a separate contract during the corresponding teaching term.”

Practice

The home program pays the faculty member’s salary because faculty loads are established by Dean and Program Director and reflect the ongoing needs of the academic program. Because the number of semester hours for which a faculty member will be loaded is expected to remain the same from year to year, there must be a plan to provide coverage when a faculty member is away from campus or teaching in other areas. While sometimes adjustments are made by cancelling a course or internal changes without costs, this describes where salaries may be allocated when costs arise.

  • When on sabbatical, adjunct faculty (or overload) coverage is allocated to the Provost's Budget.

  • When on intercultural, adjunct faculty (or overload) coverage is allocated to the Intercultural Programs budget

  • When teaching in General Education, there is no reallocation. The program covers additional faculty needs.

  • When teaching in Honors, no reallocation. The program covers additional faculty needs.

Use of “within target” load: vs. “above load, overload” for full-time faculty teaching and leading Intercultural programs

Fall- Spring: Faculty leading intercultural (ICP) is always considered within the target load

  • Faculty home program covers the ICP leader's salary

    • Faculty co-leaders: Rarely, co-leader status may be requested by leaders based on the workload arrangement. Both receive 12H of loading for the semester, paid by their home program. This decision is made in phase one upon agreement of both the Dean and the ICP director.

  • ICP covers replacement (~$1245/ SH, maximum potential adjunct rate) * 12H for faculty leaders

  • Adjunct's salary charged to 1-ICP CODE- adjunct line

  • EMU retirees & Non-EMU employees serving as the primary leader during Fall and Spring receive compensation at the maximum overload rate of $1700/SH  paid from the ICP budget

Summer: the expectation for faculty ICP leaders is always “above load, overload”

  • ICP would pay a flat rate at the maximum overload of $1700/SH

  • This would also be the rate for EMU retirees & Non-EMU employees serving as the leader

  • This is generated as an additional pay contract (not in advance)

  • The Dean, in collaboration with ICP director, may decide that this should be “in load” so that a portion of the targeted 18-24-SH full-time load is carried within summer months.

    • This is considered in circumstances where such a shift is in the best interests of both the faculty member and the university (including both Intercultural Programs and the Department of the faculty member).

    • The home program covers the faculty leader's salary.

    • The dean may reassign faculty if sufficient enrollment is not reached. Sufficient enrollment is 8 students.

Procedures during the loading period (typically January & February)

The ICP director or coordinator creates a memo each January that is sent to the academic affairs deans and relevant program director. This memo includes

  • The course codes for each semester or summer program by faculty

  • The budgetary codes for each semester or summer program

    • Including the codes for adjunct faculty coverage when home program faculty are off campus

  • A reminder of these loading guidelines

The program director or dean’s assistant or designate loads their program faculty with the appropriate courses, allocating their salary to the home program during the fall and spring semesters and the ICP program during the summer.

Preparation for leading intercultural programs

Reference summer teaching grant: “EMU provides one or more $1,000 summer teaching grants to faculty for the purposes of encouraging new course preparation or major course revisions.”

Fall or Spring Semester ICP proposals: up to $5,000 may be allocated to a planning stipend (up to $2000) and to reimburse travel expenses (up to $3000) for a planning trip. In the case of co-leaders (not assistant leaders), the stipend and planning money would be split between them. We recommend that this be completed 18 months prior to the trip.

Summer Semester ICP proposals: up to $2,500 for a six-week ICP (1000 for planning stipend, 1500 for travel) or up to $1250 for a 3-week program may be allocated to a planning stipend or to reimburse travel expenses for a planning trip. Must be completed 9 months prior to the trip.

Funds to support preparation will either be billed to the relevant Intercultural Program or will be provided from the Intercultural Program Fund (determined by the Intercultural Programs Office).

Other leaders

Staff leading intercultural programs during Fall or Spring - HR makes the final determination if the staff is allowed to leave campus. Salary will be covered by the home office with the approval of the supervisor. If a replacement is required, that cost will be covered by ICP.

Assistant leaders for intercultural are typically staff, non-EMU employees, or EMU retirees: They may be faculty members who have not led before and wish to apprentice. They are compensated at half of the rate of EMU retirees & Non-EMU employees serving as the primary leader.

  • Summer: 3 or 6 SH at $850 per semester hour (= $2,250 or 4,500)

  • Fall & Spring: 12 SH at $850 per semester hour (=$9000)
