Paid and Unpaid Leaves
Paid Leave
Holidays
There are currently fifteen paid holidays for staff members:
- Good Friday
- The Friday before Memorial Day and Memorial Day (Two days off creating a four-day weekend)
- Juneteenth
- Independence Day
- Wednesday to Friday of Thanksgiving week (Three days off creating a five-day weekend)
- Seven days at Christmas (actual dates will be determined by the calendar, but will include Christmas through January 1)
Staff members who are less than 1 FTE (12 months or 2080 hours) receive holiday pay on a prorated basis. For example, if the employee is .75 FTE, they receive 6 hours per paid holiday or 84 hours per year. Part-time employees (employed less than .75 FTE) and temporary employees are not entitled to holiday pay. When holidays fall on Saturday or Sunday, they will be observed on the previous Friday or the following Monday. To determine which day is designated as the holiday, refer to the EMU activity calendar.
Vacation
Vacations are intended for the welfare of the employee by providing rest, relaxation, and recreation. This enables the employee to continue service at EMU with renewed energy and enthusiasm.
Years of Service
As of July 1 for the Fiscal Year
0 to <3 years 2 weeks vacation
3 to <10 years 3 weeks vacation
10+ years 4 weeks vacation
Vacation pay is eligible for regular administrative or staff employees who are .75 FTE and greater. Vacation will be prorated during the first year of hire and will reflect the employee's FTE load. Employees on an authorized leave of absence or sabbatical do not earn vacation benefits.
Up to one week of vacation time will be allowed to roll-over into the next fiscal year, which begins on July 1 of each year. The amount of time will be based upon your current accrual rate..
In the event of notice of termination, vacation time cannot be taken during the last 2 weeks of employment without Supervisor approval. Vacation will not be paid out in the event of termination. All paid leave balances will then be set to 0.
Paid Time Off (PTO)
Paid Time Off (PTO) provides flexibility to employees who need to be off work for unexpected reasons. PTO can be used for events such as illness, sympathy, weather-related events, community events, or other such occasions. Employees are granted a specific allotment of paid time off each fiscal year.
Administrators and staff who are employed full time are eligible to receive PTO according to the schedule below.
Years of Service Paid Time Allotment
as of July 1 for the Fiscal Year - 15 days
Beginning the first of the month following their date of hire, new hires are granted a prorated allotment of PTO for the remainder of the fiscal year in which they are hired. Administrators and staff who are employed .75 FTE or more, but less than 1 FTE, will be allocated paid time off on a prorated basis.
An employee may use his or her PTO at any point during the fiscal year with the approval of the supervisor. An employee must be actively working to receive paid time off; no time is granted during leaves of absence.
Paid Time Off (PTO) Requirements
- PTO must be used prior to the start of unpaid leave.
- Employees who qualify for Family and Medical Leave (FMLA) must use all accrued PTO before unpaid FMLA is taken.
Paid Time Off (PTO) Balances
- Paid time off allocated for the fiscal year must be used during the fiscal year.
- Paid time off will not be paid out upon termination.
Approval of Vacation or Paid Time Off
An employee must request approval of vacation or paid time off in advance, except in the case of an emergency. Approval of vacation or paid time off is contingent upon the needs of the department and EMU.
Jury Duty
Leave is allowed for employees who are called to serve as jurors. A supervisor may request documentation from the employee confirming the dates scheduled for jury duty.
Employees will receive their regular compensation and be allowed to keep that which they receive from the court (both per diem and mileage amounts).
